Refund and cancellation

These rules cover workshops, labs, clinics, and private chart mentorship. This site does not sell physical products or run online checkout; fees are arranged after enquiry.

Eligibility

Refunds apply only to confirmed, paid sessions. An unanswered enquiry or a reserved hold without payment is not a purchase and needs no refund.

Timeframe

Cancel in writing (email to learn@scalableinfrasolutions.digital) at least 7 full days before the session start for a full refund of the session fee. Cancellations between 6 days and 48 hours before start receive a 50% refund. Inside 48 hours, the fee is non-refundable unless we cancel the session.

Full or partial refund

Full refunds apply when we cancel a workshop, when you cancel within the 7-day window, or when a documented illness prevents attendance and you notify us before the start time. Partial refunds follow the schedule above. Mentorship packages paid as a block: unused future sessions may be refunded pro rata if cancelled under the 7-day rule; a session already held is not refundable.

Non-refundable items

Printed workbooks once distributed, custom chart packs prepared for your mentorship after you send materials, and third-party venue fees when already incurred for a private booking are non-refundable.

Refund process

Email the booking name, session title, date, and payment reference. We confirm eligibility within 3 business days.

Processing time and method

Approved refunds are returned by the original payment method within 10 business days after approval. Bank transfer refunds use the account you designate in Japan.

Cancellation and rescheduling

You may request one free reschedule to another published date if notice arrives at least 7 days before the original session and space exists. Later reschedules are treated as cancellations under the refund schedule. We may reschedule due to instructor illness or venue issues; you may then accept the new date or take a full refund.

Deposits

Some multi-evening clinics require a deposit to hold a seat. The deposit is applied to the fee. It is refundable under the same timeline as the full fee if you cancel early enough; otherwise it is retained.

No-shows

Missing a session without notice is a no-show. No refund is issued. Mentorship no-shows forfeit that session slot.

Work already started

If a multi-day studio has begun and you withdraw, days already delivered are charged in full; remaining unused days follow the partial-refund rules only when we can fill the seat.

Purchased materials

Digital templates emailed before a session remain yours to keep if you cancel; their allocated cost (stated on the invoice when applicable) is deducted from any refund.
